We are not required to appoint a data protection officer. Questions about data protection reach us at the same address.

What this policy covers

It covers the vecodesk.com website, including the English version under /en. The software itself (app.vecodesk.com) is governed by the agreements with each customer: there we process personal data on our customers' behalf, under a data processing agreement.

Visiting the website

The site is hosted with Amazon Web Services in Frankfurt; our contracting party is Amazon Web Services EMEA SARL, Luxembourg. When you open a page, AWS processes the connection data without which no page could arrive: your IP address, the time, the file requested and the browser identifier. The legal basis is our legitimate interest in operating the website (Art. 6 (1) (f) GDPR). We keep no access logs and do not evaluate this data.

Delivery runs over the worldwide AWS network, which can involve locations outside the EU. The data processing agreement with AWS, including the Standard Contractual Clauses, covers that case.

Cookies, fonts, analytics

This website sets no cookies and stores nothing on your device — the analytics included. That is why you will not find a consent banner here.

We measure traffic with Plausible Analytics (Plausible Insights OÜ, Estonia), which processes the data in the EU. From your IP address and browser identifier Plausible derives an identifier that changes daily; neither is stored, and no usage profiles are built. It tells us which pages are read, where visitors come from and how often the demo form is submitted. The legal basis is our legitimate interest in traffic measurement without personal reference (Art. 6 (1) (f) GDPR).

Fonts are served from our own server. Opening a page creates no connection to Google Fonts.

Demo request

When you submit the form on /demo, we process what you enter there: first and last name, company, email address, number of machines, software in use and team size. We use it to answer your request and arrange an appointment. The legal basis is Art. 6 (1) (b) GDPR — steps taken at your request.

You will not receive marketing emails from us. For a newsletter or campaigns we would ask for separate consent first.

Requests land in our CRM at HubSpot, Inc. (USA), which acts as our processor. Our portal sits in HubSpot's EU instance. Access from the US is covered by the Standard Contractual Clauses incorporated into HubSpot's data processing agreement; HubSpot is additionally certified under the EU-U.S. Data Privacy Framework.

If your request does not lead to working together, we delete the record twelve months after the last contact; it leaves the system's recycle bin for good no later than 90 days after that. If a contract is concluded, the statutory retention periods apply.

Contacting us by email

If you write to hallo@vecodesk.com, we process your message in order to answer it (Art. 6 (1) (b) and (f) GDPR). The mailbox runs on Google (Google Ireland Limited, Dublin); messages to this address are also taken into our CRM so that the correspondence stays with the request. The same deletion periods apply as for a demo request.

An informal email to hallo@vecodesk.com is enough. You can also lodge a complaint with a supervisory authority — the one responsible for us is the Hessian Commissioner for Data Protection and Freedom of Information in Wiesbaden.
