Service reports

Service reports out of the ticket

Work steps, parts fitted, times and photos are already in the ticket. Technician and customer sign on site, on the phone; Vecodesk issues the PDF, files it as a version and sends it to the customer.

  • Signed on the phone
  • Versioned and immutable
  • Delivered by email

Why digital

What the digital report gives you

Delivered before the technician drives on

Signing happens on the phone. At that same moment the PDF is issued, archived and delivered.

Done means evidenced and billable

A ticket only closes once the report and the parts question are settled. What is missing surfaces at closing — not in invoice review.

Every version is unambiguous

Each issue creates its own version. A correction becomes the next one; the previous is kept as superseded.

From ticket to PDF

Three steps, no double entry

Between the last turn of a screwdriver and the report reaching the customer there is one signature.

  1. 1

The content comes from the ticket

Machines, work steps, tasks, times, distance, parts and photos. Which sections get printed you decide once in the settings.

    • Hide internal entries if you want to
    • Your own notice text and footer
  2. 2

    Signing in four steps

Review, technician's signature, customer's signature, issue. Whether each party must sign is configurable.

  3. 3

    Issue, file, deliver

On closing, the report is issued automatically if you want and goes to the ticket contact. For every version it is traceable who received it.

In detail

What the report carries

No closing without evidence

Enforceable if you want it: without an issued report a ticket does not move to review or closing.

Parts with quantity and machine

Parts fitted appear in the report with their count and, across several machines, against the right one.

Times and kilometres

Working time and distance from the ticket land in the PDF as their own section.

Immutable versions

An issued version is a snapshot of the PDF and its source data. It is replaced, never overwritten.

FAQ

Questions about service reports

Can an issued report be changed afterwards?

Not the issued version. A correction creates a new version with a running number; the previous one is kept as superseded.

What if the customer cannot sign?

If you allow that case, the technician issues the report without a customer signature and leaves a reason. It then appears in the document.

Does the customer get the report automatically?

Yes, by email to the contact stored on the ticket, plus up to ten further addresses if you want.
