AI in vending service: suggesting, not acting

Two points in the working day are pure typing, and the assistant takes both off you: recording a fault and naming the parts fitted. The decision stays with your team — the AI tools can only read.

  • Available with every plan

Where AI helps

Three places where the assistant takes work off you

The phone note becomes the ticket

Paste the note. The copilot suggests customer, site, machine and ticket fields — each with a confidence and the passage it came from.

Part names find their catalog entry

Technicians type parts as free text. Vecodesk matches them to your catalog in the background — first exactly, then loosely, with an understanding of German compound nouns.

Import columns are recognized

Every file has different column names. The AI suggests which column is customer number, site or serial number; you confirm or correct.

AI suggests, people decide. Not as a guideline someone could change, but as an architecture that does not allow anything else.

In detail

What the assistant does — and what it does not

Three functions, one principle: the assistant prepares, your team decides.

  1. 1

    The intake copilot

Next to the ticket form there is a field for free text. Whatever lands there, the copilot reads and fills suggestions into the fields — each one revertible with a click.

    • Customer, site, machine, contact and ticket fields
    • Several candidates when the note is ambiguous
    • A duplicate warning before the ticket is created
  2. 2

    Spare-part matching that learns

After saving, matching runs in the background: first over an exact key, then over a fuzzy search that understands umlaut spellings — “Zähler” and “Zaehler” are the same part. Only if neither hits does Vecodesk ask a model.

    • Matching after saving, without holding the technician up
    • Confirmed spellings are learned as synonyms
    • What cannot be matched keeps its original text
  3. 3

Column detection in the data import

The assistant reads the header and first rows and suggests a target field for each column. The mapping is stored only after your approval.

    • Without the add-on you map the columns by hand — the import runs either way

Principles

How to judge the assistant

Evidence, not assertions

Every accepted field carries the passage it came from — revertible with one click.

Read access only

No AI tool can write. Even the draft tools return nothing but suggestions.

Your permissions apply

The assistant works with the rights of the signed-in person, not with a full access of its own.

Inference in Frankfurt (EU)

Model calls run in Frankfurt. Your data does not leave the EU for AI processing.

FAQ

Questions about the AI

Can the AI create a ticket on its own?

No. It produces a draft that a person checks and confirms. The tools have no write access — that is not a setting anyone could flip.

Does the AI see data the user may not see?

No. The assistant works with the access of the signed-in person, and the permission check sits in the same place as for the web app and the technician app.

Is the AI assistant included in the price?

It is available with every plan as an add-on. Without it everything else works unchanged — including the data import, then with manual column mapping.
