Vecodesk

For vending machine operators

Every fault in view.Every visit evidenced.

Vecodesk is ticketing and field service software for vending operators: faults come together in one place, technicians document at the machine — and every job ends with a service report.

  • Built for vending operators
  • Technician app for iOS and Android
  • Hosted in the EU (Frankfurt)

Why Vecodesk

What you can count on for every service call

Phone calls, WhatsApp, notes on a desk. Who took which fault is known only to whoever happened to be in the office. And what was done at the machine yesterday? Really only to whoever drove out.

Every job comes back with an answer

Every assignment demands an answer: accept, or decline with a reason. From there the status moves to en route, on site and done. If the acceptance never comes, the job is flagged overdue.

Every visit is evidenced

A ticket only closes once the service report is issued and the spare-parts question is answered. Signing happens on site, on the phone, and the versioned PDF goes to the customer.

Every machine has a history

The machine's page carries every previous visit, the parts fitted and the maintenance performed. Customers and machines sync in from 4Vending or Televend instead of being re-typed.

Generic helpdesks know tickets — but not vending machines. Vecodesk does.

The path of a service call

From the phone call to the signed service report.

  1. 1

    Report

Take down the fault and create the ticket. With the AI add-on, the copilot reads the note and recognizes customer, site and machine.

  2. 2

    Dispatch

Assign a technician. Accepting takes one tap in the app; if the acceptance never comes, the job is flagged overdue.

  3. 3

    On site

Scan the QR code on the machine. The app opens its history and captures photos, spare parts and working time.

  4. 4

    Sign

Technician and customer sign on the phone. The report PDF is versioned, archived and emailed to the customer.

  5. 5

    Close

No ticket closes without an issued report and an answered parts question. The maintenance plan creates the next job as soon as it falls due.

Features

One system, two workplaces

The office works in the browser, technicians in the app. Both see the same state.

For the back office

The web app for dispatch and service management.

More on the ticketing system

Lists, board, saved views

Tickets as a list or a board, grouped by status or technician. Views can be saved and shared across the team.

Deadlines in working days

First response, resolution and no movement count in working days and respect your public holidays. When one runs out, one notification goes out.

Customer, site, machine

One customer, several sites, many machines. From the customer to the machine on the third floor is two clicks.

For technicians in the field

The app for iOS and Android.

QR scan at the machine

One scan opens the machine's history, open tickets and location.

Photos, parts and time

Photo of the fault, parts fitted, hours and kilometres — captured at the machine, visible in the office immediately.

Signature on site

The customer signs on the phone, and the report PDF goes out automatically.

AI assistant · add-on

AI suggests. People decide.

The assistant takes over the typing. The decision stays with your team.

Intake copilot

Paste a phone note. The copilot recognizes customer, site and machine, drafts the ticket and points out duplicates.

Spare-part matching

Technicians type the part name the way they know it. Vecodesk maps the free text to your parts catalog and learns your team's vocabulary as it goes.

FAQ

Frequently asked questions

Anything missing here, we cover in the demo.

Is Vecodesk a helpdesk?

No. In a helpdesk, tickets hang off a mailbox; in Vecodesk they hang off a customer, a site and a machine — and are dispatched to technicians with an acceptance deadline and an assignment history.

Does the technician app work on iOS and Android?

Yes. It covers the visit itself: QR scan, status changes in one tap, photos, spare parts, time tracking and the customer's signature.

How does our existing data get into Vecodesk?

Customers, sites and machines sync in from 4Vending, and Televend contributes machine master data. Everything else comes through the data import: cloud storage, FTP or an uploaded spreadsheet.

What happens when a deadline is missed?

Three clocks run alongside every ticket — first response, resolution, no movement — with targets per priority, counted in working days. When one runs out, Vecodesk notifies the people you nominated. Once.

Does the AI write data on its own?

No, and structurally so: the AI tools have read access only. A suggestion becomes a record only once a human confirms it.
